IABC Edmonton Capital Awards Go Online

We’ve been doing some work with the Edmonton chapter of the International Association of Business Communicators (IABC) to improve the judging process for their annual Capital Awards, which recognize the work of communications professionals in the Edmonton area.

Judging for any kind of award is a lengthy, meticulous, document-heavy process, and the Capital Awards are no different. Each submission must be judged by two judges, and sometimes three if there is a significant variance between the first two scores. The judges’ scores are averaged and award eligibility is determined.

In previous years, hard copies of submissions had to be mailed in and judges reviewed/scored them manually. Administrative staff had to meticulously organize the submissions, separating the ones that still needed to be judged, had been judged, or required a third judge. Scores were calculated carefully to avoid errors.

We wanted to make the process as quick and efficient as possible for IABC, so we created an online submission system for their website. Entries are now submitted online, including entry fees which are made via PayPal. Judges can now view and score the submissions online, which speeds up the process significantly because two judges can score the same submission at the same time. We further streamlined the process by tracking where each submission is in the judging process – if it still requires judging or if a third judge is needed. The total score is automatically calculated, eliminating the risk of human error. Finally, once entries are reviewed, submissions with judges’ comments are emailed back to applicants.

The new online system allows for better management of the entire awards program.

The new online system also allows for better management of the awards program beyond just the judging process – judges can be added, the close date for submissions can be set, and winners can be listed online. This reduces cumbersome paperwork for administrative staff.

IABC used the new system for the first time for this year’s Capital Awards. It made a major impact on the ease and efficiency of the judging process – and that’s exactly what we wanted.
